Operation Christmas RGV is seeking a motivated, organized, and service-oriented UTRGV student to join our Board of Directors as Secretary. This leadership position provides an opportunity to gain hands-on experience in nonprofit governance, organizational leadership, administration, and community service while helping make a lasting impact throughout the Rio Grande Valley.

The Secretary plays an important role in keeping the organization organized, accountable, and connected. This individual will work closely with the President, Vice President, Treasurer, and other Board members to ensure that Board activities, decisions, records, and communications are properly maintained.

Responsibilities

The Secretary will:

  • Attend and actively participate in monthly Board of Directors meetings.
  • Prepare, record, and maintain accurate minutes of Board meetings.
  • Maintain official Board records, resolutions, policies, and organizational documents.
  • Assist with preparing meeting agendas in coordination with the President.
  • Distribute meeting notices, agendas, minutes, and other Board communications.
  • Maintain an organized record of Board decisions and action items.
  • Help monitor follow-up on decisions and responsibilities assigned during Board meetings.
  • Assist with organizational correspondence, notices, and official communications.
  • Support the President and Board with administrative and organizational needs.
  • Assist with planning nonprofit events, community programs, and Board activities when available.
  • Participate in strategic planning and organizational development.
  • Support fundraising, volunteer recruitment, and community outreach initiatives.
  • Maintain confidentiality regarding organizational and Board matters.

Preferred Qualifications

Applicants should be:

  • Currently enrolled at the University of Texas Rio Grande Valley (UTRGV) or South Texas College (STC).
  • Organized, dependable, and detail-oriented.
  • Comfortable communicating through email, virtual meetings, and other digital platforms.
  • Able to take accurate notes and maintain organized records.
  • Able to meet deadlines and follow through on assigned responsibilities.
  • Comfortable working collaboratively with a diverse Board of Directors.
  • Passionate about community service, nonprofit leadership, and helping others.
  • Interested in developing leadership, administrative, and professional skills.

Previous nonprofit, administrative, leadership, or Board experience is welcomed but not required.

Time Commitment & Expectations

This is a leadership commitment, not simply a title or résumé opportunity.

Board members should expect to commit, depending on organizational activities and events. The commitment may include:

  • Attending monthly Board of Directors meetings.
  • Preparing for meetings and reviewing materials in advance.
  • Recording and organizing meeting minutes.
  • Completing assigned administrative responsibilities between meetings.
  • Participating in Board discussions and strategic planning.
  • Responding to Board communications in a timely manner.
  • Supporting fundraising, volunteer, and community outreach initiatives when available.
  • Attending major organizational events when reasonably possible.

Because Operation Christmas RGV is a growing nonprofit serving families and communities throughout the Rio Grande Valley, Board members are expected to be actively engaged, dependable, and willing to contribute beyond simply attending meetings.

We understand that students have academic, work, and personal responsibilities. We are not looking for someone who can be available every day. We are looking for someone who can make a consistent commitment, communicate when conflicts arise, and follow through on responsibilities they accept.

Location & Meeting Format

This position primarily operates in a virtual format, with most Board meetings and responsibilities conducted online. Occasional in-person meetings, Board activities, and organizational events may be held at the organization's office or other event locations throughout the Rio Grande Valley.

Applicants should be comfortable participating in virtual meetings and attending occasional in-person activities as their schedule permits.
